Introduction
Apollo can sync Contacts/Leads, Accounts, Opportunities, and the activities related to them (emails, tasks, calls, meetings). Also, when setting the integration, you'll have the option to map the stages and fields so they can sync based on what you have configured on Salesforce.
If you haven't already, first read our documentation on How Apollo Syncs with Salesforce in order to make sure everything is configured properly.
Push Records to Salesforce
To configure the records that will be synchronized from Apollo to Salesforce, go to Settings > Integrations > Salesforce > Push Records. From there, you'll have specific settings based on the type of information.
Contacts/Leads
Under this tab enable the settings to push Apollo contacts records to Salesforce, and identify if you want to sync them as Contacts or Leads.
Based on what you choose to configure Create new records in Salesforce as Contacts or Leads?, you'll have to configure the Field Mappings as well so the data will get pushed to the correct type of record. So, if you choose to sync Contacts to Salesforce Leads, for example, once you are at the Stage and Field Mappings option (over Settings > Integrations > Salesforce), make sure to go to the Leads tab to edit the Stage Mappings, Default Field Mappings and Custom Field Mappings for this record type.
Contacts/Leads Source on SFDC
When syncing Contacts/Leads, make sure to complete the setting For Contacts that are pushed to Salesforce, what should their “Source” be?, so you can identify the origin from the Apollo records over Salesforce. With this information, you can run a report in SFDC, and you'll see all the leads or contacts synced to date.
Accounts
Over this tap enable the synchronization of the Companies records to Salesforce.
Accounts Source on SFDC
Make sure to identify Which Salesforce field should we use for Account source? to sync to Salesforce the origin from the Apollo Account records. You can use this information to run reports on SFDC and identify the accounts synced from Apollo to date.
Opportunities
When you enable the opportunities synchronization, these are saved on Salesforce at the Contact/Leads and Account level.
Important Note. All Opportunities records require having Salesforce integration set up. If Salesforce gets disconnected from Apollo, you would not be able to access the Opportunities data over Analytics. It would only be possible to access the data available over the Opportunities page, which could be exported as a CSV.
Activities, Tasks, Meetings, and Notes
Access this tab to enable the sync to Salesforce of all the activities records from the engagement done for Contacts/Leads, Accounts, and Opportunities.
- Emails and content are logged under the contact they were sent to.
- Calls are logged with call notes and the logged call outcome. Notes and call recordings are logged in the comments of the call activity.
- Scheduled calendar appointments and cancellations are noted.
If you want to edit the Titles used for Emails, Tasks, and Calls when synced to Salesforce, you can click on the gear icon next to these activities.
Salesforce Mappings
Information Apollo Sends to SFDC
The specific information synced with SFDC depends on your mappings and the Custom Fields you have setup. That said, this is the information we're currently able to sync.
- Name
- Phone number
- Organization name
- Stage
- Lead/Contact source
- Person linkedin URL
- Location
- Custom Fields you may have synced and mapped to SFDC
What About Record Ownership?
When Salesforce is connected to Apollo, we will automatically sync all record owners regardless of whether they are Apollo users. In this case, the "Owner" section for the specific contact or account will show the owner's Salesforce email, followed by a message that indicates they do not use Apollo.
Note, however, that it is not possible to manually set non-users as owners in Apollo (they can only be set and synced from Salesforce).
We would synchronize to Salesforce all the data from Contacts/Accounts that are requested from Apollo. However, for Contacts/Accounts imported from Salesforce and then enriched within Apollo, by default we would sync back to Salesforce only specific basic fields (like the verified email, company, title, and location), but to synchronize advanced fields, it would be required to have available the feature CRM Enrichment in your Apollo subscription. This feature is available for Annual Custom plans.
