Sync Your Apollo Contacts to Outreach
If you use Apollo for data, but house all of your engagement within Outreach, then this integration is for you! Connecting your Outreach account allows you to push Apollo contacts directly into Outreach. Once linked, you can export your contacts from the People page, Company Profiles, and Contact Profiles. The integration also allows you to deploy Apollo contacts directly into your Outreach sequences, thereby allowing you to remove as many follow-up steps as possible when working between the two platforms.
Furthermore, contacts that are pushed to Outreach will automatically have the following attributes synced (as long as they are also present in Apollo):
- First Name
- Last Name
- Linkedin URL
- Website URL
- Title
- City
- State
- Country
- Phone
- Street
- Postal Code
- Time Zone
Setup
To enable the integration, go to Settings > Integrations and click the Connect button, shown below:
This will cause an authentication modal to appear in a separate tab, where you'll then be taken to a login portal for Outreach. At this point, be sure to connect an admin account for Outreach, as only one Outreach account is able to be connected to Apollo at a time. Connecting an admin account will also help ensure that your users can access all of their Outreach sequences within Apollo. Once your Outreach admin credentials are authenticated, you will see a confirmation modal that indicates the connection was successful (shown below). Click Finish to complete setup:
- Important Note: To help save time, the authentication modal will be able to detect if you are already logged into Outreach within another tab/window, and will automatically populate your credentials accordingly. To use someone else's credentials, be sure to log out of Outreach in all other tabs/windows first.
Pushing Contacts Into Outreach
If you are looking to push contacts into Outreach, but don't necessarily want to add them to an Outreach sequence yet, then you can do so from the following locations:
The People Page
Once you are on the People page, you can add your saved contacts to Outreach by selecting them in the list, clicking the Outreach button, and then selecting "Push Contacts to Outreach", as shown below:
Company Profiles
If you are on a saved company profile and are viewing its People tab, you will similarly be able to add your saved contacts to Outreach by selecting them in the list, clicking the Outreach button, and then selecting "Push Contacts to Outreach":
Saved Contact Profiles
If you are viewing a saved contact's profile, you can push the record to Outreach by clicking the arrow next to the Edit button at the top right of the page. From there, select "Push To Outreach":
Adding Contacts to an Outreach Sequence
Aside from pushing Apollo contacts into Outreach, the integration also supports deploying them directly into your Outreach sequences. This can be done from all of the same locations as above, with a couple of additions:
The People Page
When viewing the People page, you can deploy both saved and net new people directly into your Outreach sequences.
To add saved contacts to an Outreach sequence, first click on the Saved tab, select some contacts, open the Outreach button, and then select "Add Contacts to an Outreach Sequence":
Adding net new people to an Outreach sequence, however, can be done within the modal that appears after selecting people in the Net New tab and clicking the Save button, as shown below:
Company Profiles
Just like with the People page, you can also add saved and net new people to Outreach sequences from a company profile.
To add saved people to an Outreach sequence from here, first navigate to the company's People tab and then click on the Saved section. From there, select some people, open the Outreach button, and then click "Add Contacts to an Outreach Sequence":
To add net new people to an Outreach sequence, navigate to the company's People tab, select some people in the Net New tab, and click Save:
Saved Contact Profiles
Adding a saved contact to an Outreach sequence can also be done directly from their profile. To do so, click the Sequence button at the top right of their page and then select "Add Contact to an Outreach Sequence":
Selecting an Outreach Sequence and Mailbox
Once the Outreach sequence modal appears (after following any of the steps above), you will be able to select a sequence from your Outreach account. Similarly, you will also be able to select which Outreach mailbox you want to send messages from:
If you don't see the sequence or mailbox that you are looking for, however, then click the "Refresh your Outreach sequences and mailboxes" button to ensure that we're showing the most up-to-date options from Outreach.
- Important Note: We will only show up to 100 mailboxes in the dropdown at once. If you can't find your mailbox after clicking the refresh button, try typing it into the field instead so we can run a search.
Troubleshooting
Activity Logs
Pushing a contact to Outreach and/or adding them to a sequence will always cause an activity log to be shown under the Activities tab of the respective contact(s):
If you don't see an activity log here for the action that you took, then we first recommend taking that action one more time before troubleshooting further.
Pushing a Contact
Once a contact has been successfully pushed to Outreach, you will see a small Outreach button under the contact's name in Apollo. Clicking this button will then bring you directly to the synced contact in Outreach:
If the button is missing, however, then it's because the contact was either never pushed, or the original push attempt failed. To retry the push, click the arrow next to the Edit button at the top right of the contact's profile and select "Push To Outreach":
Adding a Contact to a Sequence and Selecting a Mailbox
If you recently created a sequence or mailbox in Outreach, but are not seeing either of them within Apollo, then it could be because the integration needs to be refreshed. To manually initiate a refresh, click the "Refresh your Outreach sequences and mailboxes" button in the Outreach sequencing modal:
If you are still not seeing your sequences or mailboxes after clicking the refresh button, however, then one last troubleshooting step is disconnecting the integration from Apollo and ensuring that an Outreach admin is linked from the Integrations page. If not, then that will very likely lead to Apollo users seeing an incomplete list of Outreach sequences and mailboxes. We will only be able to show things that the connected account has access to in Outreach, so that's why it's important for an Outreach admin to be connected to Apollo.
