Automate Your Organization's Record Assignment Processes

Custom Salesforce Assignment rules (detailed here) allow your organization to automatically assign ownership to certain records based on criteria specified within Salesforce. Teams that have custom assignment rules implemented on Salesforce's end can either enable or disable these rules for records that are sourced from Apollo. 

To enable or disable assignment rules for records sourced from Apollo, navigate to Settings > Integrations > Salesforce > Salesforce Authentication Settings and select "Yes" or "No" for the setting highlighted below:

• Note: By default, assignment rules will always be turned off (i.e. "No" will be selected).

How Do They Work?

In order for assignment rules to work, your organization must have them set up and activated in Salesforce according to the documentation detailed here. 

When enabled within Apollo, we will allow your active assignment rules to take over ownership-setting for any record types that are pushed to Salesforce and have rules configured on them. They will also run any time a new record is created or an existing record is updated in Apollo.

Record types that can be pushed from Apollo and have active assignment rules matched/applied are:

• Contacts
• Leads
• Accounts
• Opportunities
• Tasks

If an assignment rule is applied to one of these records in Salesforce, the new ownership value will then be synced to Apollo.

• Note: When an assignment rule is applied to a record in Salesforce, it will not be possible to overwrite the ownership value from Apollo. Manual changes will always be reverted based on the rule.

What If My Team Doesn't Have Any Assignment Rules?

For record types that don't have any active assignment rules applied to them in Salesforce, the Apollo <> Salesforce integration will defer to whatever ownership value is set within Apollo. Ownership-setting will also be deferred to Apollo for all new records whenever assignment rules are disabled in either platform.

• Note: In these cases, manual changes to ownership in Apollo and Salesforce will be synced bidirectionally as usual.
